The Essentials in 30 Seconds

A quick summary — the full policy below is the authoritative version.

What We Collect

Contact details, enquiries sent through this site, and — for crew applications — CVs, seafarer documents, certificates and related compliance records.

Why We Use It

To respond to enquiries, manage and crew vessels, verify certificates, meet maritime legal obligations (ISM, ISPS, MLC, STCW) and run our business safely.

Your Rights

You can ask to access, correct, delete or restrict your data, object to certain uses, or withdraw consent — simply email us. We never sell personal data.

1. Who We Are

Manila Marine Management Inc. ("MMMI", "we", "us", "our") is a ship management company providing technical management, crew management and marine services for tanker vessels. Our head office is located at Office No. 108, Sheikh Mohammed Bin Rashid Al Maktoum Humanitarian & Charity Establishment Building, Al Mamzar, Dubai, UAE.

This policy explains how we handle personal information of website visitors, clients, owners, suppliers, manning partners, and current or prospective seafarers. Depending on where you are, your data is protected by the UAE Personal Data Protection Law (PDPL) and — where applicable to you — the EU/UK General Data Protection Regulation (GDPR).

2. Information We Collect

Seafarers & applicants

If you apply for a position or are deployed through us, we collect:

  • Identity and contact details (name, address, email, phone, date of birth, nationality).
  • Professional information (CV, rank, sea service, appraisals, training records).
  • Compliance documents (passport, seaman's book, STCW certificates, COC/COP, licences, flag-state endorsements).
  • Medical fitness information you provide for sea-service requirements — treated as sensitive data with additional safeguards.
  • Payroll and banking details, emergency contacts, references and background-check results.

Clients, owners & suppliers

Business contact details (name, company, role, email, phone) and the content of our correspondence, contracts, proposals and invoices.

Website visitors

Details you submit through our contact or enquiry forms, and limited technical data collected automatically (IP address, browser and device type, pages viewed).

3. How We Use Information

  • Responding to enquiries and preparing proposals for owners and operators.
  • Recruiting and deploying crew — verifying qualifications with issuing authorities, arranging interviews, medicals, visas, travel and sign-on/off.
  • Administering employment: contracts, payroll, training records and appraisals.
  • Delivering ship management services: technical and operational support, HSEQ records, incident investigation, audits and vetting preparation (e.g., SIRE 2.0, CDI).
  • Meeting legal and regulatory obligations: MLC 2006, STCW, flag and port state requirements, ISM/ISPS, immigration, tax, and sanctions/AML screening.
  • Operating securely: website analytics, service improvement, and protection against fraud or misuse.
  • Sending service updates you have requested — you can opt out at any time.

6. Sharing & Disclosure

We share personal data only where necessary, and only with parties who are bound to protect it. Depending on the service, recipients may include:

  • Shipowners and principals for whom we manage or crew vessels.
  • Manning agents and crewing partners.
  • Approved clinics and physicians, travel and visa agents, insurers and P&I clubs.
  • Flag administrations, class societies, port authorities, auditors and vetting inspectors (e.g., OCIMF SIRE 2.0 / CDI).
  • IT and service providers (hosting, email, payroll systems) under written confidentiality and data-processing terms.
  • Professional advisers, banks (for crew payroll), regulators, courts or law-enforcement authorities where required by law.

We never sell personal data.

7. International Transfers

As a ship management and crewing company, personal data routinely moves between the UAE, vessels worldwide and owners' offices. We transfer data only where an adequate level of protection is ensured — through adequacy findings, contractual safeguards such as standard contractual clauses, or other lawful transfer mechanisms — and we handle it under this policy wherever it is processed.

8. Data Security

We apply appropriate technical and organisational measures, including:

  • Access restricted on a need-to-know, role-based basis.
  • Encrypted connections (HTTPS/TLS) for data in transit.
  • Secured premises and controlled handling of HR and compliance files.
  • Confidentiality obligations in staff and supplier contracts.
  • Incident response procedures, including breach notification to authorities and affected individuals where required by law.

No method of transmission or storage is completely secure, but we continually review and improve our safeguards.

9. Data Retention

  • Employed/deployed crew: retained for the duration of engagement plus the period required by MLC 2006 and applicable national law.
  • Unsuccessful applicants: normally up to 12 months, unless you consent to joining our talent pool for longer.
  • Client and supplier records: for the life of the relationship plus statutory accounting and tax retention periods.
  • Website enquiries: up to 24 months, then deleted or anonymised.

When data is no longer required, it is securely deleted or destroyed.

10. Your Rights & Choices

Subject to applicable law, you have the right to:

  • Request a copy of the personal data we hold about you
  • Correct inaccurate or incomplete data
  • Request deletion of your data ("right to be forgotten")
  • Restrict or object to certain processing, including direct marketing
  • Receive your data in a portable, machine-readable format
  • Withdraw consent at any time, without affecting prior processing
  • Lodge a complaint with your data protection authority (e.g., the UAE Data Office or your local supervisory authority)

To exercise any right, email info@manilamanagement.com. We may need to verify your identity before responding, and we aim to reply within one month. Requests are generally free of charge.

11. Children's Privacy

This website and our services are not directed to children. Seafarer deployment requires a minimum age of 18 in line with the MLC 2006. If we learn that we have collected personal data from a child without proper authorisation, we will delete it promptly.

13. Changes to This Policy

We may update this policy from time to time to reflect changes in our services or the law. The latest version will always be posted on this page with a revised "last updated" date, and material changes will be highlighted on the site.
